Picking a stocked item for a charge
SECURITY Access to the parent entity and feature access to transfer inventory items
NAVIGATION Open a contract, project, or ticket and click the Charges, or Charges & Expenses tab. Scroll to the Items Still Needed table.
When you are adding a charge to a contract, project, or ticket that references an inventory product, you can pick, that is, claim, a specific stocked item.
To pick a stocked item for a charge, do the following:
- To open the page, use the path(s) in the Security and navigation section above.
- Choose the inventory location from which you want to pick items and click the Pick link.
- Complete the fields in the Pick Item(s) prompt.

The field displays either the quantity you need or the available quantity for this inventory location, whichever is less. Leave the default or clear the field and enter the quantity you want to pick from this inventory location. The quantity must be > 0 and cannot be > the quantity available or the quantity needed (whichever is less). |
Stocked Item(s) (serialized items only) | Click the serial number data selector and in the data selector, click to select specific serial numbers. The count of selected serial numbers must equal the Quantity to Pick. |

Decide what you want to do with the stocked items you picked:

- Click OK. The picked items will appear on the Items Already Picked, Received, or On Order table.
If you are able to pick all of the items needed for this charge from inventory, the Items Needed table no longer appears. If you do not have enough units in inventory, both tables appear. - Items not available in any inventory location will enter the procurement process. If approval is required, the status will be updated to Waiting Approval.

When devices are created from a charge, the device is associated with the stocked item picked on the charge.
It is, however, possible in Autotask to unpick stocked items even after the device has been created, and pick a different stocked item. When this happens, the mapping between stocked item and device is broken.
- If you edit a charge that has at least one serialized stocked item that is not associated with a device, and at least one device that is not associated with a stocked item, the Map Existing Devices dialog window will open when you click Save. You can select and map an unmapped stocked item serial number.
- If the charge is for a non-serialized stocked item, Autotask will automatically assign units from the stocked item with the oldest Date Added to devices with the oldest Create Date.
