The contract menu

Contracts are managed from a persistent contract menu on the left that allows you to navigate to the different contract pages. Some pages appear for all contract types, some are specific to a contract type. When you open a contract, the Summary page is displayed. Click a menu item to open the other pages.

Summary Get an overview of the contract status Provides an overview of high-level contract information as well as the current status of the contract. Refer to Contract Summary.
Internal Costs Specify and manage internal labor costs, by role, for this contract Displays a list of Internal Costs assigned to resources for labor performed for this contract under specified roles. Add additional internal costs. Edit or delete internal costs. Refer to Internal Costs.
Billing Rules Automate the creation of monthly contract charges for billing by the end-user or by the device Displays a table of billing rules associated with the contract. You can create new and manage existing billing rules, as well as manage the associations between billing rules and contacts or devices. Refer to Creating and managing billing rules.
Exclusions
View and manage the roles and work types that are not covered / excluded from the contract Specify roles and work types that cannot be applied to tickets or time entries associated with the contract. Refer to Contract Exclusions.
Devices Manage the devices that will automatically be covered under the contract Displays a list of devices (products installed at the customer site) that are covered under the contract, as well as items not associated with any contract. Refer to Contract Devices.
Charges View and manage the products and material items associated with the contract.
For prepaid contracts, this includes the billing items for block, retainer, and per ticket purchases.
Displays a list of all products and materials that have been associated with the contract as a charge. Refer to Contract Charges.
Charge Defaults Review material codes whose cost, price or billing status has been changed at the contract level Charge defaults can change the Admin setting on the Unit Cost, Unit Price and Billable fields. Refer to Charge Defaults.
Notes View and manage notes associated with the contract Displays a list of all notes tracked with the contract. Contract notes are used to track information, update the status of the associated contract, and communicate with resources and customers. Refer to Contract Notes.
Tickets View and manage tickets that are associated with this contract Displays a table of all tickets covered under the contract. Refer to Manually selecting a contract for a ticket.

NOTE  If your ticket security level limits your ticket access to "Mine", you will see only those tickets where you are an assigned resource, and tickets associated with accounts that your security level allows you to view. You can access the ticket detail for all tickets that appear in the list. If you are assigned to a ticket, but you do not have View permission for the ticket's account, you cannot access account data from links on the ticket detail.

User-Defined Fields View Contract User-Defined Fields and set defaults for this contract View the list of all current Contract User-Defined Fields and their default values. From this list, you can edit a User-Defined Field and set a default value at the Contract Level. The default value you specify from the Contract's menu will apply only to the current contract and any copies or renewals generated from the current contract.
If you change the default, you can add a reason for the change. Refer to Contract User-Defined Fields.

Specific contract types

Rates
(Time & Materials, Retainer and Fixed Price Contracts)
View and manage contract-specific billing rates If you do not want to use you organization's default role rates to bill your customer either in arrears using a time & materials contract or debiting a prepaid retainer contract, you can set up contract-specific rates for labor tracked against the contract. Refer to Rates and Multipliers.

NOTE  For block hour contracts, the Rates view can only be accessed from the Contract Details box. Rates are only used in very special circumstances. Refer to How the contract type determines billing workflows.

NOTE  Even though labor tracked with a fixed price contract is not directly billable, you are able to generate reports using either your standard roles rates or contract rates that let you compare the fixed revenue from the contract to the revenue you would have realized had you billed time and materials. This lets you determine how profitable the contract is, and helps you to correctly set prices for fixed price contracts.

Services
(Recurring Service contracts only)
View and manage the services and service bundles associated with the contract View and manage the service bundles and services included in a recurring service contract. Refer to Services.

This link will only appear if you have Integrated Customer Billing enabled and the contract organization is mapped to KaseyaOne module organizations. Refer to Integrated Customer Billing.

Milestones
(Fixed Price contracts only)
View and manage billing milestones Fixed price contracts do not bill the customer on labor and/or charges. Instead, the contract sets one price for an entire project, and a billing milestone occurs when the project progresses to one or more pre-determined objectives. You can add as many milestones as you want and update the status to Ready to Bill when each milestone is achieved. Refer to Milestones.
Blocks
(Block Hour contracts only)
View and manage block purchases View and manage the list of blocks associated with a block hour contract. Refer to Blocks, Retainer Purchases and Ticket Purchases.
Rates & Multipliers
(Block Hour contracts only)
Manage the Rate at which blocks are consumed View and manage the block hour multipliers that let you determine how many block hours will be consumed for one hour of labor. Refer to Rates and Multipliers.
Retainer Purchases
(Retainer contracts only)
View and manage retainer purchases View and manage the list of retainer purchases associated with a retainer contract. Refer to Blocks, Retainer Purchases and Ticket Purchases.
Ticket Purchases (Per Ticket contracts only) View and manage ticket purchases View and manage the list of ticket purchases associated with a per ticket contract. Refer to Blocks, Retainer Purchases and Ticket Purchases.
Notification Rules
(Block Hour, Retainer, Per Ticket contracts)
Determine the system response when block, retainer and ticket purchases are almost depleted Set up the notification rules that allow you to automatically deal with expiring purchases for block, retainer and per ticket contracts. Refer to Notification Rules.
Projects (all except Per Ticket contracts) View and manage projects that are associated with this contract This view displays a list of all projects covered under the contract. For more information on associating projects with contracts, refer to Selecting a contract for a project.
