Project statuses

Project statuses apply to the overall project, and are different from task statuses. For information on task and ticket statuses, refer to Task & ticket statuses.

Managing project statuses

Autotask provides three system project statuses, New, Inactive, and Complete. To open the page, use the path(s) in the Security and navigation section above. You cannot edit, inactivate or delete system statuses, but you can change their sort order.

  • The New status is automatically assigned to projects when they are created. The field does not appear on the New Project page.

  • The Inactive status is special. When you need to temporarily halt work on a project, you can inactivate it. Open the Edit Project page and change the status to Inactive. Refer to Status fields.
    An inactive project will no longer be listed on the Projects Dashboard, and its tasks will no longer appear in My > Tasks and Tickets. Resources will no longer be able to track time or enter notes on the tasks for this project.

  • When you change the status to Complete, the project no longer appears in searches for open projects. Refer to Completing a project. The Status Detail field cannot be left empty. If you use the Complete Project wizard, Status was set to Complete is automatically appended to any existing text in the Status Detail field.

You can add additional project statuses as needed. You can edit and inactivate these non-system statuses. You can also delete them if they are not assigned to any projects.

Updating the project status

The Status field does not appear on the New Project page. New projects are automatically assigned the New status.

  • You can view the project status on the Summary page, and update it and enter a Status Detail on the Edit Project page. Changes in project status are time stamped and automatically tracked as project notes.

  • The Status and Status Detail (when provided) are available for filtering and grouping in project searches and project reports.
