About quote templates

Every Autotask quote that you present to a customer is based on a quote template. If you generate sales quotes in Autotask and present them to your customers, you will use a quote template. The quote template controls the content and appearance of the quote including tax display settings, general page settings, and grouping and descriptive content for quote items.

About default and system quote templates

Your Autotask instance includes an Autotask Default quote template to get you started. This template is initially assigned as the global default template. If your company used Autotask quotes before quote templates were introduced, there may also be several system quote templates based on your existing quotes. The Autotask default and system quote templates cannot be edited or deleted, but you can make a copy and then edit the copy to create a custom quote template.

When should you create additional quote templates?

While you cannot edit the Autotask Default quote template, you can make a copy, edit that, and then make it the new default template. This template is automatically applied to all new quotes, and may be all you need.

You may need additional quote templates if:

  • You want the quote to be presented in a different language.
  • Your customer is located in a different country and quotes require different information. If you are doing business in multiple countries, you can specify a default quote template at the country level. The template is applied to all quotes generated for customers in the associated country and will override the global default template. Refer to Managing your Countries list.
  • Certain types of customers require specialized quotes (for example the Federal Government). If you have one or more customers with unique quoting needs, you can create custom quote templates to address those needs. You then associate the quote templates at the organization level. The organization level default template will override both the global and country level default templates. Refer to The Quote Settings tab and page.

Managing quote templates

All of the quote templates are listed on the Quote Templates page. To open the page, use the path(s) in the Security and navigation section above. You can do the following:

Click to open the Quote Properties page where you configure the basic settings of the quote template. Refer to Editing quote template properties.

Context menu options

Design

Open the Design Quote Template page. For more information, refer to Designing a quote template.

Edit Template Properties Open the Quote Template Properties page. For more information, refer to Editing quote template properties.
Copy Copy the template and make any changes on the New Quote Template page. Refer to Editing quote template properties.
Set as Default Set this template as the global default and automatically assign it to all quotes that use the global default. There can be only one global default, therefore if you make this template the default, it will replace the current default designation.
Activate / Inactivate Set this template as Active or Inactive. The default template cannot be inactivated.

NOTE   Inactive templates remain associated with countries and customers they were selected for prior to being inactivated, but cannot be selected for new countries, organizations, or quotes.

Delete Delete the template and remove it from the table.

NOTE  You cannot delete the Autotask Default and System Quote templates, any template that is currently set as the default template, or any quote templates that are associated with an organization or quote. If the template cannot be deleted, you can inactivate it to prevent it from being used for new quotes.
